Classes

PocketSuite’s Classes feature allows you to create, schedule, and book clients for courses ranging from  quick check-ups to lengthy training sessions. Our classes feature is a great way for you to gain client exposure and to give them a firsthand experience with your professionality!

To get started, enable classes by going to “Settings” > “Features” then toggling “Classes”.

How to create a class

To get started, go to “Settings” and tap on “Classes”.

Tap on the “+” in the upper right corner. Tap “Create a class”.

Now you can begin customizing your class! Be sure to add an informative name and description by tapping “Name” and “Description” respectively.

To set the price for the class, tap on “Price”. To set the total price of the class, write in a value to the “Price” field. If you want to add a deposit, tap “Deposit” and enter the amount you would like the client to pay up front. If you would like to add a discount rate, tap “Discount rate” and select the discount rate you wish to apply to the class. If you would like to collect sales tax on this class, toggle “Allow sales tax”.

PocketSuite lets you determine how your clients will book your classes. These settings are crucial to helping you organize your schedule and dictating how you will be paid for these classes. To begin, tap on “Class type”.

You may structure your clients’ booking of your classes in one of three ways:

  • Single Drop-in: Clients will book into this class one session at a time. All of the information in this class’ settings apply to each instance of this class. As a result, this class’ total price–including deposit, discount, and sales tax– is charged to the client upon every new booking.
  • Series: Clients book into a fixed quantity of classes that occur on a fixed schedule over an extended period of time. All of the information in this class’ settings apply to the entire bundle of classes. As a result, this class’ total price–including deposit, discount, and sales tax–is charged to the client only once upon the purchase of the class bundle.
  • Open Enrollment: Clients will book into a fixed quantity of classes that occur on a fixed schedule. If purchased, clients will be booked into the first class available based on the class schedule. As such, classes may not occur at regular intervals. As a result, this class’ total price–including deposit, discount, and sales tax–is charged to the client only once upon the purchase of the class bundle.

To edit the maximum enrollment for this class, tap “Class size”. Select the maximum number of people you wish to attend this class.

If you would like to assign a Pro to teach this class, you may do so by tapping on “Instructor” and selecting the Pro you would like to lead.

If you would like to add the option of a waitlist, toggle “Allow waitlist”.

To set a schedule for your class, tap on “Schedule”. If you would like to add a single availability slot for this class, tap “Add single lesson”. Tap on “Duration” to set the duration of this class. Tap on “Start date” to indicate when this class should start.

If you would like to add multiple dates at once, tap “Add multiple lessons”. Tap on “Duration” to set the duration of this class. Tap on “Start date” to indicate when this class will start. 

To set how often you would like to offer this class, tap “Repeat every”. Select how often you would like to offer this class. To set the days that this class meets, tap “Days of week” and select the days that you would like to offer this class. To set the maximum number of sessions that this class may be booked during your specified days, tap “Number of lessons” and select a number.

You have successfully added dates to your class’ schedule! To add more dates, tap “Schedule” and tap “Add single lesson” or “Add multiple lessons”. 

Tap “View all lessons” to view your current schedule, add more dates, edit dates by tapping on a date, or delete dates by swiping right on any dates and tapping “Delete”.

Tap “Location” to set where the class will take place. If the class is remote, select “No location”. If the class occurs at your business’ location, select “Business location”. If the class occurs at another location, tap “Another location”. You will have to specify the address of another location.

Tap “Lead time” to specify how far in advance your clients have to book you before they begin. This is especially helpful if you have to setup before a class.

If you wish for this class to be accessible through your online booking site, toggle “Show online”.

If you wish to upsell any products with your class, tap “Add-on products” and select the products you wish to upsell.

If you wish for your clients to fill out any contracts or forms before beginning your class, tap “Attach a contract” or “Attach a form” respectively.

And you are all set! Be sure to attach a photo to grab your client’s attention! Once you are satisfied with your settings, tap “Save”.

Book your clients into classes

PocketSuite’s Classes feature allows you to book your clients into classes directly from the app! To get started, go to “Calendar” and tap on the “+” in the top right corner. Tap “Schedule client”.

Tap on “Client” to select the client you would like to book.

Tap “Services” to select the class you would like to book the client for. Tap on the class you would like to book.

If you would like to add any products to the client’s booking, you may do so by tapping “Products” and selecting products.

If you would like to change the date and time of the class, tap “Date”. You will be shown all available times as well as the number of spots remaining in each availability slot.

Fill the rest of the form out as you normally would. Tap “Next” when you are satisfied with your settings.

If you are satisfied with your appointment settings, tap “Send”.

How to manage your classes

PocketSuite’s Classes dashboard allows you to monitor the state of your active classes. Tap on “Classes” from your dashboard to begin.

You will be brought to your Classes dashboard. Tap on an appointment to see the class’ details, book clients into that appointment, message the Pro in charge, or cancel the entire class. Tap “Edit” to edit the details of this class.

If you wish to check clients into a class, tap on the class and then tap on “Class size”. Swipe left on the client you wish to check in, and tap “Check in”. A green bar will appear next to the client’s name if they have been checked in.

Use your Classes dashboard to filter your active classes. Tap on the arrow on the top of your screen to filter the classes by status. 

Tap on the arrow in the top right corner of your screen to filter the classes by time interval. 

Tap on the magnifying glass in the top right corner of your screen to search for specific classes.


Sharing your classes beyond the PocketSuite app

PocketSuite makes it simple for your classes to reach clients without having to rely on the app! Each class comes with its own booking link that you can send to clients directly. To access this link, go to “Settings” and tap on “Classes”. 

Tap on the class you would like to share and then tap “Share booking link”. You will be given a number of options to share your booking link with. 

PocketSuite also allows you to send your clients a full calendar of your class schedules. To access this calendar, go to “Settings” and tap on “Data export”. 

Tap on “Time Period” to specify the window of time you would like to pull data from. 

Tap “Export Types” and select “Classes”. Tap “Send” when you are done. You will receive a detailed itinerary of your classes within the specified time period.
