Adding Team Members for SuperAdmin

PocketSuite’s Team Members feature allows you to easily add and keep track of your employees. Being able to customize every aspect of their position, from their ability to contact clients to checking in and out, allows you to better organize your business and ensure a seamless and fluid work environment. 

To get started, go to Settings > Features, then scroll down to Teams and toggle it on.

How to add new team members

PocketSuite’s Team Members feature allows you to add and customize your employees’ work experience. From the dashboard, scroll down and tap on “Team”.

You should now see the screen below. To add a new team member, press the “+” at the top right hand corner of the screen. 

You will now be asked to add contact information about your employee. If you wish to use an employee’s contact information already saved on your phone, tap on “Import from address book” to use an existing contact. If you wish to add their information manually, tap on the “Name” field to insert their name. Tap on the “Contact” field to add their phone number and email address. Tap on “Address” to add their address information.

PocketSuite allows you to control the range of your employee’s actions in their workspace. To customize this, tap on “Role”. Each employee can be assigned one of three ranges of action. Employees in the “Limited” range have access to the jobs assigned to them and how much they will be paid for them. Employees in the “Staff” range have access to messages, schedules, client contact information who are assigned to them as well as the ability to collect payments from said client. Employees in the “Admin” range have access to all clients and everything in your business account except income, reports, plan and feature settings, as well as payment methods. 

Next, you can further customize their abilities by toggling features under “Add Additional Access”. This is only available for employees at the “Staff” or “Admin” level.

Once you have confirmed your employee’s contact information and level of accessibility, you will be taken to a form to customize how you would like to communicate with them. “Send via” allows you to choose how you would like to send them notifications. “Send reminder” allows you to choose how often this employee receives reminders. Toggle “Send daily summary” to send this employee a summary of their daily activities at the end of every workday.

Once you have confirmed communication with the employee, you will be taken to the form below. You may choose if this team member is eligible to be assigned jobs, if you would like to pay them through PocketSuite, and if you would like them to use a business line connected to your account while working.

Next, you will be taken to the form below to organize your employee’s work hours. Tap “Calendar” to customize work days and hours. Tap “Timezone” to set the timezone your employee’s hours should operate within. Toggle “Show online” to enable this employee to be directly booked online by a client. Toggle “Allow pickup” to allow this team member to handle shipping and pickups.

PocketSuite also allows you to customize which services each team member is available for. Tap on “Services offered” to bring up a list of all services available. Select the ones that you would like this team member to be available for.

You can also track when team members check in and out of their job. Toggle “Enabled” to require this team member to check in and out every day. Toggle “Require selfie” to require a selfie to check in and out. Toggle “Notify clients” to send a message to clients if this team member is leaving. Toggle “Reminders” to send a reminder to the team member to check in and out based on their schedule.

If you have selected to pay them through the app, you can customize which services you would like to pay them for.

If you have selected for them to have business numbers, you can toggle on “Add a dedicated business line” to provide them with their own individual business lines.

You are all set! Customize the invitation message and click “Invite” to invite this person to your PocketSuite workspace!
