We know getting booked is just the beginning. That’s why we made it easier than ever to track and manage all the tasks you (or your team) must complete during a booking with PocketSuite’s Smart Tasks!
Important: Smart Tasks and Smart Projects can only be used with Reservation appointment types.
In this article:
- Create a smart task
- Create a smart project
- Navigate the task dashboard
Create a smart task
To get started, go to Settings>Smart Tasks.
Tap the plus sign (+) to create a new smart task.
Next, add a task name and description.
Pro Tip: Use dynamic fields, like {{firstname}}, within the task description to personalize the task to the client or appointment.
Then add any relevant Task Fields. You (or your team) will fill these out while completing the task, such as uploading a file, recording a date, or answering a few client-related questions.
Select a Field type, and decide whether the field will be required. Hit Done.
Now your smart task is ready to add to a smart project! Hit Save.
Create a smart project
To get started, go to Settings>Smart Projects.
Tap the plus sign (+) to create a new smart project.
Next, add a project name.
Tap Smart Tasks to select the tasks for this project.
When you select a task, you’ll have the option to edit the time and frequency. This is convenient for tasks that must be completed multiple times during the reservation.
Go back and save the smart project.
Once a smart project is created, it can be added to a reservation. When the reservation is booked, tasks on the project will be generated for you or your team members.
Smart projects can be added to your reservation by default by navigating to Settings>Reservations and adding a Smart project to any Reservation. You can change the default Smart project during scheduling or before the client checks in for their reservation. Additionally, you can create a new Smart project ‘on the fly’ as you schedule your clients or edit their reservations.
Task Dashboard
Track and manage all tasks in one place using the Task Dashboard.
To view the dashboard, go to Home>Tasks.
By default, you’ll see all upcoming tasks for the day.
You can filter this list by the time and the status of the tasks.
From the task dashboard, tasks can also be assigned, escalated, marked as complete, or canceled. Tap the three dots next to a task to see your available options.
Note: On a team account, Admin and Super admins can assign tasks to others, while limited team members and staff can only assign tasks themselves.
