Will a client still get reminders to complete a Form or Contract after I confirm the appointment?


Yes. Confirming an appointment doesn’t turn off reminders for an incomplete Form or Contract. If required paperwork is still outstanding when you confirm, the client keeps receiving reminders to complete it.

How this works

When a client requests an appointment and hasn’t completed a required Form or Contract, you have a few options that work independently of each other:

  1. Tap Send Link (called “Send client a link” on desktop) on the appointment to prompt the client to finish any outstanding Form, Contract, card on file, or other requirement. One link covers everything that’s still incomplete.

Selecting “Send client a link” opens this prompt. 

The link is not sent until you select Send.

  1. Send a Form or Contract directly through the messenger. Open the client’s conversation, tap the $ icon, then choose the specific Form or Contract you want them to complete. This can be done at any time and does not have to be linked to a specific appointment. 

  1. Confirm the appointment so the client knows their booking is secured. You don’t have to wait for their paperwork to be finished first.

Confirming the appointment overrides the requirement as a blocker to confirming, but it doesn’t cancel the requirement itself. The Form or Contract is still outstanding, so the reminder keeps going out to the client until they complete it, whether that happens before or after you confirm.

This gives you the flexibility to confirm bookings promptly, without leaving clients wondering about their appointment status, while the system continues to prompt them to finish the required paperwork in the background.

Note: This applies whether the Form and Contract are still outstanding at the time you send the link, at the time you confirm, or both. The reminder logic is tied to the document’s completion status, not to the appointment’s confirmation status.

Contract reminders are sent daily until the client signs. Forms work a little differently: rather than a recurring daily nudge, the client is prompted to complete an outstanding Form the next time they book or confirm with you, and you can send them a completion link at any time using Send Link. You can also send a Form (or Contract) reminder link through the messenger at any time: open the client’s conversation, tap the $ icon, then choose the specific Form or Contract you want them to complete. 

Suite Tip: If you no longer want a client getting reminders for a Form they haven’t completed, open the Forms dashboard on the homepage, filter to Sent, open that form, and cancel it. Canceling stops the reminders for that one Form without changing its “Always require” setting for future bookings. Contracts work the same way from the Contracts dashboard. 

Example

A new client books an appointment online but doesn’t complete the required Form and Contract at checkout. The Pro taps Send Link so the client gets a reminder to finish both. By the day of the appointment, the client still hasn’t completed them, so the Pro goes ahead and confirms the booking rather than leaving the client waiting.

Even though the appointment is now confirmed, the client’s Contract reminder keeps going out daily until they sign, and they’ll be prompted to complete the Form again the next time they book or confirm.

If only the Contract or form had still been outstanding, the Pro could have sent just that one document through the messenger instead of the combined Send Link.
