Scheduling [Reservations]


Pocketsuite makes it easy to schedule a reservation for your clients.

Schedule a reservation

To get started, go to the Home screen and tap Schedule. Then Select the client and a reservation from your list of services.

 
Tap Availability and Staffing to schedule the reservation.

Note: The booking process has varied steps depending on whether you have team members, resources tied to the reservation, and how you have structured your check-in and check-out.

Select your start date and end date.

Note: If the reservation duration is Fixed in settings, the end date will be selected automatically, and this step will be skipped. 

Select your check-in time. 



Note: If your reservation is set to Flexible, you can select the check-in time from a list of time slots, just like booking a service. You can also assign team members to check-in appointments. These can be the same or different team members assigned the overall reservation, which will be the last step.  If your reservation is set to Any Time or Default Time, you will only have one option on this step. Note that team members cannot be assigned specifically to check-in in this case, but they can be assigned to the overall reservation in a later step.

Select your check-out time

Note: If your reservation is set to Flexible, you will be able to select the check-in time from a list of time slots, just like booking a service. You can also assign team members to check-in appointments.  These can be the same or different team members assigned to check-in or the overall reservation, which will be the last step. If your reservation is set to Any Time or Default Time, this step will be skipped. 

Now you can select your team members (if you’re on a team plan) and resources (if you have resources set up in the app).



Note: These steps will be skipped if neither feature is used. These team members will be staffed for the overall reservation. If you selected team members to staff the check-in or check-out, you’ll see them selected here. You can change the team members assigned to the overall reservation to be different from those staffed on the check-in and check-out appointments. You will also see resources auto-selected here as they are for services and classes and can be edited if needed.

Once you’re on the final step, you’ll see a Done button, which you can tap once you have completed all the required steps. 

Complete the scheduling form, and you’re all set! Depending on your settings, the reservation appointment will be sent to the client for confirmation.

 

How do team members work with reservations?

Since there are multiple parts to the reservation booking, multiple opportunities exist to assign different team members. Note that you can only assign team members to check-in and check-out appointments which are flexible since those have a duration and impact your availability for services and classes, whereas Any Time and Default Time check-ins do not. 

You can assign different team members to the check-in, check-out, and overall reservation if desired. If a team member is staffed on the check-in or check-out appointment, their availability will be blocked off for the duration of that appointment, just like a service. The availability of these check-in and check-out appointments is the same as for a service of the same duration. You can then also assign a team member to the overall reservation. Availability for the overall reservation depends on their reservation capacity, any All Day calendar blocks, and business hours on the day of check-in. 

For convenience, if you select team members for check-in and/or check-out, you’ll see those team members selected automatically for the overall reservation on the last step. You can change the team members assigned here so different team members are assigned the check-in and check-out than are assigned the overall reservation. 

 

How do resources work with reservations? 

The availability of resources tied to reservations only accounts for other reservations, not for services and classes. We recommend not tying resources to both services/classes and reservations to avoid any conflicts. For a reservation, resources are blocked off from the beginning of your business hours on the start date through the beginning of your business hours on the end date. This ensures that a new reservation can start the same day another one ends and be tied to the same resource. Resources do not account for the check-in and check-out times or appointments, only the start and end dates.
